Field service software with QuickBooks Online integration: enter it once, see it in both

Customers, items and invoices sync both ways between Forz and QuickBooks Online, while tax rates, accounts and payment methods come in from QuickBooks. The office bills in Forz, and your bookkeeper works in QuickBooks.

The problem with the old way

Every invoice typed twice

The office bills the job in one system, then someone re-keys it into QuickBooks. Each re-keyed invoice is another chance for a wrong amount or a missing line.

Customer lists that drift apart

A new billing address gets updated in one system and not the other. By month-end, nobody is sure which record is right.

Tax rates set up twice

When each system keeps its own tax table, an invoice can go out at a rate your accountant never set up, and someone has to chase the difference.

How QuickBooks integration works in Forz

Two-way sync for customers, items and invoices

Create or update a customer, item or invoice in either system and Forz pushes or pulls the change. Each linked record stores its QuickBooks ID, which Forz uses to match every later sync.

Connect once, import what you have

Connect from Settings > Integrations, sign in to Intuit and authorize your company. Forz then imports your customers, items, accounts, tax rates and payment methods in the background.

Customer records that match

First and last name, organization (the QuickBooks Display Name), email, phone, mobile, fax, website and billing address sync. A customer you create in Forz reaches QuickBooks within 15 seconds.

Items with prices, stock and accounts

Name, description, type, unit cost, unit price, quantity on hand, reorder point and the income, expense and inventory asset accounts all sync. You can change an item's account mapping on its detail page.

Invoices your bookkeeper can see

Invoices for linked customers go to QuickBooks with the customer reference, line items (quantity, unit price, description, discount), due date and invoice number. Syncing with QuickBooks Online never replaces the number Forz assigned.

Tax rates from QuickBooks

Individual QuickBooks tax rates import with their name and percentage, and tax codes import as one combined rate. Tax rates flow from QuickBooks to Forz only, never back.

Payments and expenses sent over

Payments you record in Forz are sent to QuickBooks Online, and expenses sync as Purchase transactions. A customer's balance comes the other way, from QuickBooks to Forz.

Three more pieces of data move one way. Payments you record in Forz are sent to QuickBooks Online. Expenses sync as Purchase transactions. A customer’s balance syncs from QuickBooks to Forz.

QuickBooks Service items become Service items in Forz, and every other QuickBooks item type becomes an Inventory item. Forz matches records by their QuickBooks ID, not by name. If a customer already exists in both systems, link the two records before you import, or you’ll end up with duplicates.

Connecting QuickBooks Online

  1. Check access. You need the Admin role in Forz, plus admin access to a QuickBooks Online company that has at least one income account.
  2. Connect. In Settings > Integrations, click Connect on the QuickBooks Online card, sign in to Intuit, select the company and click Authorize.
  3. Let the import run. The card shows a Connected badge and the first import starts in the background. It pulls all customers, items, accounts, tax rates and payment methods, and can take several minutes on a large QuickBooks file.
  4. Review. Check the imported customers and items. Import Data from QBO, behind the gear button on the QuickBooks Online card, pulls again later: it creates customers that aren’t in Forz yet and updates the linked ones.
  5. Bill from Forz. New customers and invoices go to QuickBooks from here on.

How a job becomes a QuickBooks invoice

A tech finishes the work and logs parts and labor on the job. The office clicks Generate Invoice, and Forz builds a draft with the customer, contact, service address, payment term and every line item from the job. When the invoice is saved for a linked customer, Forz sends it to QuickBooks Online with the customer reference, line items, due date and invoice number.

A few rules keep this clean. The customer and every item on the invoice must already exist in QuickBooks. An invoice has to be at least 1 minute old before Forz pushes it. If QuickBooks rate-limits the connection, Forz retries on its own after the limit window, typically 60 seconds.

Checks and cash you record against the invoice in Forz are sent to QuickBooks Online as payments. Customers can also pay online through Stripe, which marks the invoice Paid or Partially Paid automatically.

Three contractors, three setups

HVAC: the first connection

An HVAC contractor connects QuickBooks Online. The first import brings in its customers, service items such as filter replacements, compressor repair and duct cleaning, and inventory items such as thermostats and refrigerant. The office manager checks that customer addresses match, then starts invoicing in Forz, and those invoices appear in QuickBooks.

Plumbing: a water heater install

After a water heater installation, the dispatcher invoices the job in Forz: the unit, the labor and the copper fittings, with the applicable tax rate. Forz sends the invoice to QuickBooks with the customer reference and each line, and the bookkeeper sees it there without retyping it.

Electrical: combined sales tax

An electrical contractor’s QuickBooks file has a tax code, CA Sales Tax, that groups a 6.0% state rate and a 1.25% local rate. Forz imports it as one tax rate, CA Sales Tax at 7.25%, which the office can then pick on invoices and estimates.

Details your bookkeeper will ask about

  • Billing address. Changing a customer’s primary site address updates the customer record and the QuickBooks billing address. This sync is automatic and can’t be turned off.
  • Tax history. Tax rates don’t flow back to QuickBooks. If you edit a rate in Forz, Forz archives the old version, so past invoices keep the rate they were issued with.
  • Invoice numbers. Forz sends its own invoice number to QuickBooks Online, and the sync never replaces it.
  • Balances. A customer’s balance syncs from QuickBooks to Forz. If the two differ, check QuickBooks first, then re-sync from Settings > Integrations.

Works with the rest of Forz

  • Invoicing and payments: recurring invoices, payment terms and online card or ACH payment through Stripe.
  • Inventory management: quantity on hand and reorder point are part of the item sync, and Forz tracks stock at each inventory location.
  • Purchase orders: buy from vendors against the same item list that syncs with QuickBooks.
  • Work orders: parts and labor logged on a job carry into its invoice.
  • Reporting and dashboards: report on invoices and customers inside Forz without exporting from QuickBooks.
  • Stripe payments, Twilio SMS and single sign-on are covered on the integrations page.

Frequently asked questions

Yes. Forz connects to QuickBooks Online from Settings > Integrations. Customers, items and invoices sync both ways, and tax rates, accounts and payment methods import from QuickBooks into Forz. A customer created in Forz reaches QuickBooks within 15 seconds.

Customers, items and invoices sync two-way. Tax rates (including combined tax codes), accounts and payment methods sync one way, from QuickBooks to Forz. Payments recorded in Forz are sent to QuickBooks Online, expenses sync as Purchase transactions, and each customer's balance syncs from QuickBooks to Forz.

No. Forz currently integrates with QuickBooks Online only, so a QuickBooks Desktop company file won't sync customers, items or invoices with Forz.

Forz shows a Connected badge and starts the initial import in the background. It pulls all customers, items, accounts, tax rates and payment methods from QuickBooks, which can take several minutes for a large company file. Forz matches records by QuickBooks ID rather than by name, so link any customer that already exists in both systems before you import to avoid duplicates.

Invoice sync needs the customer and every line-item product to exist in QuickBooks already, and an invoice must be at least 1 minute old before Forz can push it. Also check that the invoice's customer is linked to QuickBooks and the QuickBooks Online card shows Connected in Settings > Integrations. If QuickBooks rate-limits requests, Forz retries automatically after the limit window, typically 60 seconds.

No. Tax rates sync one way, from QuickBooks to Forz. Individual rates import with their name and percentage, and tax codes import as a single rate that adds up their components, so a 6.0% state rate and a 1.25% local rate become one 7.25% rate. Edits you make to a tax rate in Forz stay in Forz.

No. Integrations are included in every Forz plan with no integration fees. You need the Admin role in Forz and admin access to your QuickBooks Online company. Forz costs $50 per user per month billed annually, or $60 month-to-month, with a 10-user minimum.
